Set up online registration

Who does this: an Admin or Owner. Form templates need the Admin role; Managers can work the registrations that come in.

  • Select the season and have your teams created. The form can ask applicants which team they are registering for, and that list comes from your teams.
  • Decide what you need to ask. ClubEzy always collects the basics for you: name, date of birth, email, phone, address and an emergency contact. Your questions are the extra ones: playing position, previous club, medical notes, consents.
  • Decide who the form is for. Most clubs start with one form for players; a separate coach or volunteer form comes later.
  1. Go to Registrations → Registration Forms and click New Form Template.
  2. Enter a Form Name (for example Player Registration 2027) and a Description that applicants will see.
  3. Choose the Target Audience: Player, Coach, Official, Volunteer or All.
  4. Leave the registration chip in Purpose tags. Forms tagged registration appear on your season’s public registration page; forms with other tags (an expression of interest, say) are reached only by their own link.
  5. Click through to the questions. The Profile details section at the top is always included and cannot be edited. Below it, add your own questions with Add Field.
  6. To let applicants pick their team, add the Season team question. Its options are your season’s teams, filled in automatically, and the answer links the registration to the team.
  7. Use Preview to see the form as an adult registering themselves and as a parent registering a child.
  8. Click Create & Activate. (Plain Create saves a draft nobody can open yet.)

Attach it to the season and open registrations

Section titled “Attach it to the season and open registrations”
  1. Open the form again from the list. Under Where this form is used, tick the season. (The same thing can be done from Seasons → the season → Settings → Forms used this season → Save Forms.)
  2. Go to Seasons and turn on Registrations Open on the season card.

Open the season and go to its Settings tab. Once registrations are open, the Public registration link card shows the address, with Copy link and a QR code you can download as an image for posters and flyers.

The link looks like auth.clubezy.com/register/<your short name>/<season>. It shows every registration-tagged form for the season; if there is only one, applicants go straight to it. Each form also has its own direct link under Share link & QR on the Registration Forms list.

Applicants open the link, choose whether they are registering themselves or a child, fill in the form and press Submit Registration. A Confirm Registration dialog asks them to check their details; if you have written a submit confirmation under Settings → Organisation → Emails, that is the text they read here. They see “Registration Submitted!”. Anyone new to ClubEzy receives an email to set up their account; everyone can follow their registration in the app. Nothing is decided yet: the registration lands in your queue, which is the next guide.

  • “Nobody can open this form yet.” The form is active but not attached to a season, or the season’s registrations are closed. Tick the season on the form, then turn on Registrations Open.
  • “n questions need attention.” A question is incomplete, usually a choice question with no options. Fix it before activating.
  • The team picker shows a group that isn’t a team. The picker normally offers only the groups flagged as teams. When no group in the season carries that flag, which happens with migrated data, it falls back to offering every group. Fix it under Teams / Groups by making sure your real teams were created as teams. Renaming the stray group does not help; it keeps its place in the list under its new name.
  • “Registrations aren’t open yet” on the public page. The season’s Registrations Open toggle is off, or no active form is attached to it.
  • Registration Forms is missing from the menu. Form templates need the Admin role.
