Bring your existing members across
Who does this: an Admin or Owner (importing needs the Admin role). Managers can invite people one at a time.
The one thing to know before you start: importing sends invitations, it does not create members. Each person gets an email, accepts it, and becomes a member of the season. Until then they show under Pending Invitations.
Before you start
Section titled “Before you start”- Select the season, and have your teams created.
- Have your member list as a CSV with these headings, in this order:
firstName, lastName, email, phone, dateOfBirth, gender, memberNumber. First name, last name and email are required; the rest can be blank. Dates of birth can be2010-05-15,15/05/2010or15 May 2010. - Leave children under 16 out of the file. They do not have their own login; their parents register them through your registration form.
Import your list
Section titled “Import your list”- Go to Members and click Import CSV.
- If you have not built the file yet, click Download Template, fill it in and save it as CSV.
- Drag the file onto the page or click Choose File.
- On Preview, each row is marked valid or shows what is wrong. Fix problems in your spreadsheet and upload again if you need to.
- On Confirm, check the count under Members to Add and click Confirm.
Everyone in the file is invited as a Player. You can change roles later from their member page.
The result tells you how many invitations were created, how many were already pending and refreshed, and how many rows were skipped because the person is already in the season. If it warns that an email could not be delivered, the invitation still exists; fix the address on their member page and resend it from Pending Invitations.
Invite one person
Section titled “Invite one person”Click Add Member, fill in Email, First Name, Last Name and Phone, leave the roles unticked for a player, and click Send Invite.
Bring back people from a previous season
Section titled “Bring back people from a previous season”Switch the Members view to All Org Directory, find the person, and choose Add to Season from their ⋮ menu. No invitation is needed; they are already in your organisation.
Put people in their teams
Section titled “Put people in their teams”- Go to Teams / Groups and open a team.
- On the Roster tab click Add Players, tick the members and click Add.
- For players who train with the squad but are not selected for matches, open their ⋮ menu and choose Mark as train-on.
Only members who have accepted their invitation appear in the picker, so do this in a batch a few days after importing.
What happens next
Section titled “What happens next”Each person receives “You’re invited to join {season name}” with an Accept invitation button. The link is valid for 30 days and opens the ClubEzy app, or the web app if the app is not installed. Tapping it accepts the invitation. Anyone without a ClubEzy account creates one on the spot; because they arrived from an invitation, they do not need to verify their email.
Track progress under Members → Pending Invitations, where you can resend or cancel. The Joined via filter on the members list shows who came in by import, registration, direct add or retention.
Next: set up online registration.
If something goes wrong
Section titled “If something goes wrong”- “Import CSV” is missing. Importing needs the Admin role.
- Rows are skipped for a missing email. Every row needs an email; it is how the invitation reaches them and how their account is matched.
- A member says nothing arrived. Check the address on their member page, then resend from Pending Invitations. The invitation also shows inside the app if they already have an account with that email.
- Someone accepted with a different email. Their invitation card told them it was for a different address. They should sign out and accept with the invited address, or you invite the address they actually use.
