Create your organisation (or accept an invitation)
Who does this: the first person from your club on ClubEzy creates the organisation and becomes its Owner. Everyone else joins by invitation.
Before you start
Section titled “Before you start”- Sign in to the admin portal. You need a verified account first.
- Decide your club’s name as it should appear to members, and a short name for web addresses. The short name is part of every registration link you share later, so pick it once.
- Decide what to call your first season, for example
2027 Season.
If your club has already invited you
Section titled “If your club has already invited you”- On the Select Organisation page, look under Pending Invitations. Each card shows the organisation, the season and the roles you have been given.
- Click Accept. The organisation appears in your list.
- Click it to select it, choose a season on the Select Season page, and you are on the dashboard.
If you are setting the club up
Section titled “If you are setting the club up”- On the Select Organisation page, click Create Organisation.
- In the New Organisation form, enter the Organisation Name.
- Enter a Short Name. This becomes the URL path in your registration links (for example
GRMFC), so keep it short and free of spaces. - Enter a First Season Name. If you leave it blank, ClubEzy names the season “First Season”, and that name shows in your registration links and in the app until you change it. Give it a real name now.
- Click Create.
- You are taken to Select Season. Click the season you just created.
What happens next
Section titled “What happens next”You land on the Dashboard. The two chips at the top of the sidebar show the organisation and season you are working in; everything you do in the admin portal is scoped to that season, and most tools stay disabled until a season is selected. You can click either chip at any time to switch.

If something goes wrong
Section titled “If something goes wrong”- “You don’t have admin access to any organisations.” Nobody has invited this email address yet. Ask your club’s Owner or an Admin to invite you, using the exact address you signed up with, or create the organisation yourself if you are the first.
- You accepted an invitation but nothing appears. Refresh the page. If the invitation card said it was for a different email address, sign out and sign in with the address the invitation was sent to.
- You left the first season as “First Season”. Go to Seasons, open its menu and choose Edit to rename it. Existing registration links keep working; only the displayed name changes.
