Attendance: RSVPs, actual attendance and reminders

Who does this: coaches mark attendance in the app; Owners, Admins and Managers read it in the admin portal.

  • An RSVP is what the member said beforehand: Yes, No or Maybe. Parents answer for each child.
  • Attendance is what actually happened, marked at the event: present or absent, with lateness (5, 10 or 15+ minutes) and a free-text note for anything else.

Both are kept, so you can see who said yes and did not come.

Open the event from Events to see the replies and who has not answered.

At the event, the person taking the register opens it in the app, uses Manage attendance, and marks each player present or absent, with lateness and a note where needed. That person is the event’s creator, a coach or manager of the event’s team, or an Admin or Owner; see Mark attendance in the coaches’ guides.

Go to Events → Attendance Grid. It shows every player on a team against every event, so patterns show up: the player who misses every Tuesday, the session nobody comes to.

ClubEzy sends members a reminder before each event starts, and a second push, Attendance Required, to anyone who has not answered their RSVP. There is nothing to set up. There is no reminder to the coach to take the register.

The Attendance report in the Reports Hub exports the same data as CSV.

  • A coach cannot mark attendance. Check they are a coach or manager of that team, not only a coach elsewhere in the club. On an event shared by two or more teams a team coach is not admitted either; there, have an Admin or the event’s creator take the register.
  • Attendance Grid is missing. It needs the attendance permission that comes with the Manager role.
